The Backup to the Backup to the Backup... Failed

Right now, I’m writing this from a villa in Mexico.
This trip? It’s been on the books for a long time. I planned to be out of office for nearly all of September with systems, SOPs, and people in place to keep things moving while I stepped away. Today I arrived for my Be Bored Trip which starts tomorrow afternoon...
But sometimes... life has other plans.
One by one, key team members had to step out too. The backup was gone. Then the backup to the backup. And the backup to that one? You guessed it.
So there I was days from leaving for Mexico managing incoming leads, responding to clients, and keeping our events on track and money flowing.
When the problem first came up I had a brief moment of panic then I set off to do what needed to get done... Next thing I knew the first day was done and I was thinking "That wasn't too bad!"
Here’s what saved me: systems.
SOP's, automations and strict communication guidelines. Real, usable processes that let me tag someone else in fast.
Because we had SOPs recorded, proposals pre-set, as many automations as humanly possible and key tasks documented, I didn’t have to explain everything. Even in a crisis, I could share a link instead of jumping on a call and hand something off to someone else.
Did I still have to move a few things around. Yes. But it could have been much much worse.
And that’s the part most business owners don’t think about until it’s too late.
It’s not just about being more “organized.”
It’s about protecting your peace when everything around you feels like chaos.
Here’s the truth:
You need to document the things you do NOW no matter how small you think they (or you) are.
And if you need a little help getting started, these are the 2 tools I use most for my SOP's:
Loom AI - Record your video and talk about what you are doing and loom will write the SOP for you!!!! It's freaking magic.
Scribehow - Need more step by step pictures for your SOP? Use this!! I love using this for things like setting up files in my CRM.
Don’t wait for an emergency to realize how important this stuff is.
About to be bored and unstressed,
Cat
